Active initiatives across SBI, Reporting & IT Strategic workstreams
This dashboard tracks three workstreams in a single portfolio view, each with its own team and role model:
Capacities don't pool β IT, SBI, and Reporting are different people with different skills. The Workstream selector at the top filters all sections: capacity bars, workload, activity feed, and project cards all follow the active selection. Use a specific workstream for day-to-day work; use "All" for exec reviews.
Person-months (pm) are the single unit of capacity across the dashboard. One person-month = one person working full-time for one month. The Effort score on each project maps directly to person-months:
The Workload section breaks commitment down per person using role weights β an IT Lead or SBI Resource carries the full person-month (1.0Γ); a Technical Project Manager carries 0.4Γ (coordination, not full delivery); a Business Champion or Project Sponsor carries 0.1Γ (decisions and approvals only); a Trainer carries 0.15Γ.
The Team Configuration section shows total committed vs available person-months per team over the active horizon. Completed projects are excluded from the used calculation.
Each project is rated on three dimensions, all 0β5: Value (impact on revenue, customers, strategy, or risk reduction), Urgency (how time-sensitive), and Effort (team time required). Priority Score = (Value Γ Urgency) Γ· Effort β high value and urgency lifts the score; high effort divides it down.
Effort is coupled with person-months. Adjusting the Effort slider on a project instantly updates the person-month estimate shown above β this keeps scoring honest about the actual capacity cost of each initiative.
Each team has a configurable headcount and available capacity % (accounting for meetings, BAU, and non-project overhead). The Team Configuration section computes total available person-months over the active planning horizon and compares it against committed project effort. Red bars indicate overcommitment. Adjust headcount and percentage using the +/β controls β changes save immediately.
Status updates β open any project card and post a note. It timestamps automatically and appears in the Recent & Upcoming Activity feed.
Role assignments β assign people to role slots directly inside each project card. Use the Team dropdown in the Workstream bar to filter the entire view by person and see their full project load.
Milestones β add milestones with a target month and check them off when done. Overdue milestones highlight in red.
Change Management β log infrastructure and system changes in the Change Management section. Use the Timeline pill to see all upcoming scheduled changes grouped by date. Completed changes drop off automatically after 7 days.
AI Timeline β click "Generate with AI" on any project's Timeline tab to produce a draft implementation plan based on the project scope and duration.
IT Lead β Technical lead and primary delivery owner from the IT team. Weight: 1.0Γ.
SBI Resource β Owns delivery from the SBI / Master Data workstream. Weight: 1.0Γ.
Technical Project Manager β Coordinates cross-functional work, tracks milestones, manages schedule. Weight: 0.4Γ.
Project Sponsor β Executive or senior business owner who champions the project at leadership level. Weight: 0.1Γ.
Business Champion β Accountable business-side owner who drives adoption, decisions, and stakeholder alignment. Weight: 0.1Γ.
Trainer β Leads end-user training and change readiness activities. Weight: 0.15Γ.
Not Started — Queued, work not yet begun. In Discovery — Requirements and scoping underway. In Progress — Active delivery. In Review — Pending sign-off or UAT. Complete — Delivered and in monitoring / BAU.
The Gantt timeline shows active, non-completed projects plotted by start month and duration. The vertical line marks today. Projects without a start month are omitted. Bars are coloured by workstream.
Not-started projects appear as compact dashed rows β minimal space but preserve planned position. Hover to see the full name. Click any project name to jump to and expand its card below.
The activity feed shows a chronological timeline of project events β completed milestones, project completions, and upcoming kickoffs. Each row shows the event date, project name, a status pill, workstream badge, and the next upcoming milestone for that project.
Dot colours: green = project complete, yellow = milestone reached, blue outline = upcoming kickoff. Click any project name to jump to its card.
All data is stored in Supabase and syncs across all users in real time. Changes to priority scores, status, roles, milestones, and change requests are saved automatically. The dashboard is restricted to Rainbow Greenhouses staff β @rainbow.ca accounts only, authenticated via Azure Active Directory.
